BookVerse is operated by Golden Leaf Books, LLC (“BookVerse,” “we,” “us,” or “our”). This policy explains how BookVerse handles information when a Shopify merchant installs and uses the BookVerse app.

Information we collect

When BookVerse is installed, we receive the merchant’s Shopify shop domain, installation and authentication information, and the access token needed to provide the app. We also store the merchant’s BookVerse configuration, field mappings, subscription status, optional LibroFM affiliate shop name, and operational records needed to run and support the service.

BookVerse reads product and variant information needed for catalog review and synchronization. This can include Shopify product and variant identifiers, titles, status, product category, inventory information, ISBNs or other barcodes, publication metadata, product links, and values in mapped metafields or metaobjects. This information is kept in an installation-scoped catalog cache and can be used to prefill forms for the merchant.

BookVerse also stores bibliographic information that a merchant deliberately reviews and saves as a contribution. Contributions can include information about Works, Editions, authors, Series, reading orders, Universes, contained Works, identifiers, and audiobook links.

BookVerse does not request or process Shopify customer, buyer, order, payment, or checkout information.

How we use information

We use installation and Shopify product information to authenticate the merchant, provide setup and field mapping, scan and review the merchant’s catalog, show matching suggestions, synchronize merchant-approved BookVerse information to Shopify, provide reports, operate billing, maintain security, troubleshoot errors, and improve the service.

Shopify catalog information is not silently copied into BookVerse’s shared bibliographic database. It can prefill a private form, but the merchant must review the information and select Save before it becomes a shared contribution. Catalog scans, cache refreshes, and background jobs do not create shared bibliographic records.

Collaborative bibliographic contributions

BookVerse is designed so bibliographic work completed by one participating bookstore can benefit others. Information deliberately saved as a contribution may be retained, corrected, combined with other bibliographic information, and shared with participating bookstores. Shared contributions can remain in BookVerse after the contributing merchant’s subscription ends or the app is uninstalled.

Installation-specific inventory, pricing, settings, unpublished information, and private catalog cache are not shared with other merchants.

Service providers and disclosures

We disclose information to Shopify and to infrastructure, database, security, and support providers only as needed to operate BookVerse. These providers process information on our behalf under their applicable agreements. We may also disclose information when required by law, to protect BookVerse or others, or as part of a merger, financing, acquisition, or sale of assets with appropriate protections.

BookVerse can generate an outbound LibroFM affiliate link using the optional affiliate shop name entered by the merchant. BookVerse does not connect to a merchant’s LibroFM account or send the merchant’s Shopify catalog to LibroFM.

We do not sell Shopify customer data. BookVerse’s paid service provides software for organizing and collaborating on bibliographic information.

Retention and uninstall

Installation-owned data is retained while needed to provide and secure the service. When Shopify sends the required shop-redaction request after uninstall, BookVerse deletes installation-owned sessions, access credentials, configuration, mappings, private catalog cache, jobs, operational locks, and installation-specific records. Short-lived operational audit records are retained for up to 30 days when needed for troubleshooting and correction history.

Shared bibliographic contributions are retained independently of the installation because they form part of BookVerse’s collaborative database. Uninstalling BookVerse does not remove shared contributions or delete products, metafields, metaobjects, or other data structures from the merchant’s Shopify store.

Security and international processing

We use reasonable administrative, technical, and organizational measures designed to protect information. No method of storage or transmission is completely secure.

BookVerse and its service providers may process information in countries other than the merchant’s country. Where required, we use appropriate measures for cross-border processing.

Merchant choices and rights

Merchants can update BookVerse settings in the app and can uninstall the app through Shopify. Requests about access, correction, deletion of installation-owned information, or applicable privacy rights can be sent to shop@goldenleafbooks.com. Shared bibliographic contributions are maintained as part of the collaborative database and are not ordinarily removed at a contributor’s request, subject to applicable law.

Changes

We may update this policy as BookVerse changes or legal requirements evolve. We will post the updated policy with a new effective date.
